Customer Relations Manager
JOHN W. FIELD TREE SERVICE, INC. seeks highly-organized, full-time, year-round Customer Relations Manager who can work in a fast-paced environment. The role is diverse, and candidates must be able to multi-task & work independently. This candidate will provide administrative support for senior management & offer professional customer service in both phone and written communications with clients. Candidate will be able to provide some redundancy for Administrative Manager. Candidate will interface with company principal, customers, suppliers, and other agencies as necessary.

Responsibilities may include, and are not limited to, the following:
General Customer Relations:
· Acts as business “receptionist”. Accepts incoming telephone calls, takes messages, deals with client questions if able and refers to Sales Representative as necessary
· Checks voicemail and emails and responds appropriately. Answers web inquiries,
forwards all information to scheduling and/or arborist for appointments or arborist
technical response, if needed
· Maintain calendar for significant &/or recurring events as well as regular client follow-up
· Works with scheduling, sales representatives and maintains project calendar
· Enters customer information into Quickbooks
· Creates estimates, invoices and proposals for clients, processes customer payments & refunds
· Follow up regularly with clients regarding estimate and invoices (“poke”)
· Maintain filing systems as relates to jobs, customers or COGS – if applicable
· Process credit card payments and make bank deposits
· Pull special hauling and overweight permits as needed for specific jobs
· Write proposals for larger projects and important customers
· Prepare bids for municipalities and HOA
· Determine Preferred & Recurring Customer base
General Office:
· Opens and distributes daily mail to appropriate administrative person
· Filing as appropriate
Other administrative/bookkeeping/finance:
· Prepare payroll as needed
· Prepare new employee packets, personnel manuals and safety handbooks
· Assist with year-end tax preparation
Required Proficiencies:
· Professional and interactive disposition
· Strong written and verbal communication skills
· Strong computer skills and MS Office proficiency
· 5+ years' administrative experience preferred
· Proven ability to take on a variety of different tasks without becoming overwhelmed
This is a full-time, year-round position. Benefit include: Health insurance after 90 days (50% paid by employer), participation in 401K after 1000 hours of service and upon eligibility, Safe Harbor Match & discretionary Profit sharing.
